Sample Conference Sponsorship Thank you Letter

 I was recently a motivational speaker for a global meeting planners summit. I attended a sold out session that focused on boosting conference sponsorship.

Unanimously, delegates agreed that if sponsors don't feel recognized they won't sponsor events in the future.

During the working session we drafted the following "Sponsorship Thank You Letter" template:

Dear (XYZ company, or particular people involved in sponsoring)

The (Insert Conference Name) wishes to genuinely thank you for supporting our 26th annual conference.

Thanks to your sponsorship, support and participation, we put on an exceptional event with over 40 guest speakers, two funny female motivational speakers, four networking events and the closing banquet. Over 350 people ( be specific about who attended- medical technologists, probation officers, etc.) attended the event.

Hundreds of volunteer hours went into creating this event. As you know, the ( insert) industry has been through a lot of change, and it is critical for our delegates to have the opportunity to come together to appreciate these changes and prepare for the future.

Thank you for investing the time and resources to help recognize and appreciate our delegates and provide cutting edge education for the industry.

(Make the thank you as accurate as possible as far as those involved)

We’d like to take this opportunity to say a special thank you to Claudius Jones, and his dedicated team Jennifer Justice, Caeli Bronx, and Tim Smithers.

We sincerely appreciate their time and efforts during the event- setting up and taking down exhibits, introducing the funny motivational speakers and for attending the networking summit. We’d also like to thank XYZ Company for providing quality products and valuable support and education for our delegates at the vendor booths.

We visited the booth several times, and it was very popular. The ( XYZ Companies) new technology is a valuable piece to support the co-payments for insurers and delegates were keen to hear about it.

Securing Meeting Sponsorship Phone Script

Motivational Speech Activities

Take a meeting from good to great or from average to amazing; with interactive activities to reinforce ideas and solidify engagement.

I was a motivational speaker for a healthcare organization recently where the program planner organized some fun, lively games to help engage the crowd. Audience participation and interaction kept people engaged and involved in the experience.

Here are a couple activities the guest speakers facilitated:

The Telephone. In this speech activity, start a message at the beginning of a row and have it be verbally communicated progressively down the row to the last person. Once it hits the final person in the row, have them compare the final message with the original one.  Peels of laughter often result as people find the message is drastically different as it passes down the line.
Tie the lesson to how messages get distorted, misinterpreted and altered as they move through different people.

To further amplify the activity tie the messages to content reinforced in the meeting.

Innovation builders. Table of 6 to 8 people each get a bag of marshmallows and a bag of straight pretzels. Teams are instructed to build something innovative, preferably related to the meeting theme with the materials.  Give the groups 5 minutes to build something. When time is up vote on the mist innovative design.

A variation to the motivational speech activity is to instruct groups to build the highest freestanding structure.

I enjoyed being a motivational speaker for the healthcare organization. The fun activities between guest speakers really kept people engaged and tied in key concepts.

A Meeting Planners Audio Visual Malfunction

On November 19 & 20, 2013, I was a humorous motivational speaker for the Camping in Ontario Conference at the Marriott Rousseau Resort in Minett, Ontario.

This stunning new facility, nestled up on the ridge outside of Muskoka ontario, is breathtaking.

Despite one glaring problem: the hotel has neglected it's internal Audio Visual issues. I served as an opening and closing humorous motivational speaker for conference. During my first motivational speech, the microphone pooped out after ten minutes of use. The AV company, PSAV quickly set up and configured it's own speaker system, taking 15 minutes out of the motivational talk.

Dress for Success and Build Confidence

Life can be brutal in flannel. Last week I sneaked out of my hotel room in my flannel pajamas to quell my insatiable desire for a Snickers bar.

As the door slammed shut, I realized I had forgotten my room key. Locked out of my room, I slinked down to the Hilton lobby. A large event was taking place and people were decked out in satin and suits. I scurried to the front desk clad in flannel, suddenly feeling embarrassed, begging for my room key. After passing the necessary security clearance, they issued me a new room key.

I entered the elevator, avoiding eye contact at all costs, begging for a direct flight to my floor with no detours to pick up other passengers. No such luck. Every stop was more and more painful as I tried to hide out in the corner.

Funny how flannel can take every ounce of confidence out of me. I was a motivational speaker for a healthcare conference the following morning, where eye contact was not optional. Yet, dressed in a black tailored suit I felt a lot more confident.
